In Qarma, documents can be uploaded either by the product responsible or the designated person for a supplier.
 This guide explains how to find the right product, upload the needed files, and track the approval process.

Finding your product

Start from the Product list in the Product Compliance module.
 You can use filters or the search bar to locate the product you want to update.

You can filter by:

  • Product status – shows products with pending, active, or completed tasks.
  • Suppliers – narrow the view to a specific supplier.
  • Product responsible – list only products assigned to a specific person.

Viewing document requirements

Once you’ve selected a product, you’ll see its details — supplier, product responsible, and a list of required documents under the Orders or Documentation section.

Each line shows the document name, who’s responsible for uploading it, and its current status.

Uploading a document

To upload a document:

  1. Hover over the plus (+) icon next to the document you want to upload.
  2. A small box will appear with document details such as description, responsible roles, and validity.
  3. Click Add files to upload from your computer.
  4. Select the file and confirm.

Setting document validity

After uploading, set the validity period for the document.
 This defines how long the document remains active before renewal is required.

If you have the right permissions, you can either:

  • Approve the document directly, or
  • Submit for approval to the designated approver.

Tracking document status

Once submitted, the document’s color indicator will update:

  • ? Yellow – document submitted and waiting for approval.
  • ? Green – document approved and valid.

Notifications and follow-ups

You’ll receive a notification when you’re expected to provide documentation.
 This appears both:

  • On your To-do list inside Qarma, and
  • Via email, if notifications are enabled for your account.
