1. Official EU User Guide (general TRACES system management)

The European Commission has published the EUDR Information System User Guide.

The guide covers:

  • Registration and access through EU Login
  • User roles and permissions in TRACES NT
  • How to create and manage Due Diligence Statements (DDS)
  • General compliance workflows under EUDR

This guide provides the baseline for working with the system.

2. Setting up API Integration between Qarma and TRACES NT

TRACES NT offers an API (machine-to-machine integration) that allows operators to manage DDS directly from their own systems.

  • The latest technical specifications are provided by TRACES Support via request. There is no self-service option for obtaining API credentials or documentation; requests must be made by email to TRACES Support.

3. How to request API access

Step 1 – Gather company details
Prepare the following information:

  • Legal entity name of your company/organisation

  • TRACES NT Operator ID (if already registered in TRACES)

  • Contact person details (name, email, phone)

Step 2 – Contact TRACES Support (mandatory)

  • Email: sante-traces@ec.europa.eu

  • Subject (must start with “EUDR API”):
    EUDR API – Request for credentials – <Company Name>

  • Email content (very important):

    • Request two sets of API credentials:

      • ACCEPTANCE (test) environment – for initial testing and validation

      • PRODUCTION (live) environment – for official DDS submissions

    • Clarify you need technical credentials / service account access for machine-to-machine integration.

    • Include the company details from Step 1.

4. Testing and workflow in TRACES NT

  • When working with the EUDR Information System (TRACES NT), two environments will be used—by Qarma and by you as the operator. As part of the setup, the API key provided by TRACES will be integrated in Qarma for both the “acceptance” and “production” workflow.

4.1 ACCEPTANCE (test environment)

  • Where we will initially create and submit test DDS for selected sample products with the purpose of validating the workflow and any integration (end-to-end).
  • DDS in ACCEPTANCE are not legally binding; so plenty of opportunity for testing. 

4.2 PRODUCTION (live environment)

  • After initial testing in ACCEPTANCE, all real DDS should be created and submitted here.
  • Only DDS in PRODUCTION is official and legally valid under the EUDR.

4.3 General flow:

  1. Test in ACCEPTANCE with sample products (creation + submission of DDS).
  2. Confirm the workflow functions as expected end-to-end.
  3. Use PRODUCTION to create and submit the official DDS for your actual products.
